Basics

Where do notes appear?

On three NetSuite pages: under each title on the saved search list (Lists, Search, Saved Searches), in a panel on a search's edit page, and in the same panel on its results page. Hover or tab to a row on the list and choose "Add note". Press Save, or Cmd+Enter (Mac) or Ctrl+Enter (Windows), to save.

Does SuiteMemo change anything in my NetSuite account?

No. It adds nothing to NetSuite: no custom records, fields, scripts or bundles. Notes are stored in your browser and on SuiteMemo's servers. It never reads search results or record data.

Why do I see a "finish setup" bar?

Before SuiteMemo handles any data, it shows a screen explaining what it stores and where. Press Continue on that screen (it opens after install, or from the bar) and notes start working.

Who sees my notes?

Everyone on the same NetSuite account who has SuiteMemo. There is one note per saved search, shared by the whole account; there are no notes only you can see. You only see notes on searches that appear in your own saved search list, so NetSuite's permissions carry over; admins see every note on the account. Each note shows who last edited it.

Do sandbox and production share notes?

Yes. Notes belong to the NetSuite account number, so production and every sandbox of that account share the same notes and the same count. Notes follow the search's script ID, so they survive a sandbox refresh, and a search you build in a sandbox and deploy to production keeps its note.

I opened a results page and SuiteMemo asked me to open the edit page or the list first. Why?

The results page address only carries the search's internal id. SuiteMemo learns a search's script ID from the saved search list or the edit page, so open either once and the results page will know which note belongs there. Existing notes still show up on the results page either way.

Plans and the note cap

How much is it?

Free: $0, 50 notes per NetSuite account, unlimited users. Unlimited: $29 a month or $290 a year per NetSuite account, unlimited notes and users, first month free. See pricing and terms of sale, including refunds.

What happens at 50 notes on Free?

Reading and editing keep working. Adding a new note shows "Free is 50 notes per account. Delete down to 50 or upgrade." Delete a note and you can add one again, or upgrade to Unlimited.

What happens if a subscription ends and we have more than 50 notes?

Nothing is deleted. Every note stays readable and exportable, and you can delete notes, but nobody can edit or add notes until the account is under 50 or back on Unlimited. Note history is kept but hidden until the account is back on Unlimited.

How does the free month work?

An admin on the NetSuite account opens SuiteMemo's Settings, signs in with their email and chooses Unlimited, monthly or yearly. Stripe's checkout asks for a card and charges nothing for 30 days. Stripe emails a reminder before the first charge. Cancel in the billing portal inside those 30 days and you are never charged.

What is "Generate description"?

A coming Unlimited feature that drafts a note from the search's definition using your own AI key. It is not in the current version.

What if SuiteMemo cannot reach its server?

It keeps working on the account's last confirmed plan for up to 7 days. After that, it treats the account as Free, using the note count it has locally, until it can reach the server again. Notes you already have are never removed.

Billing and signing in

Do I need to sign in?

Only to pay. Notes sync and are shared on the account without any sign-in. The one person who buys Unlimited signs in with an email so the subscription has an owner and receipts have somewhere to go.

How do I sign in?

Settings, Account tab, "Sign in". Enter your email, then type the 6-digit code we email you. There is no password. Codes expire after 10 minutes.

How do I subscribe, change card, get an invoice or cancel?

Open SuiteMemo's Settings (the toolbar popup's Account button, or right-click the toolbar icon and choose Options), Account tab. Sign in, then choose "Upgrade to Unlimited"; Stripe's checkout opens in a new tab. Afterwards, "Manage billing" opens Stripe's billing portal for invoices, card changes and cancelling. Only admins on the NetSuite account see these buttons.

How does sync work?

Once you press Continue on the first-run screen and local-only mode is off, SuiteMemo sends notes to our server shortly after you save, about every 15 minutes, and when you open a saved search page. Everyone on the account gets the same notes within one of those cycles, in Chrome or Edge.

What if two people edit the same note?

The last save to reach the server wins. The version it replaced is kept with the note on every plan. On Unlimited, open the note's History to see earlier versions and restore one; on Free, email us and we can recover it.

Admins and access

Who is an admin?

Anyone whose NetSuite role is in the account's admin role list. SuiteMemo reads your role from the NetSuite page. The Administrator role is on the list by default; an admin can add other roles (and cannot empty the list or remove the last admin).

What can admins do?

In Settings, Account tab: see who on the account has SuiteMemo (name, email, role, last seen, which environments), set each person to viewer or editor, change which roles count as admin, and buy or manage the subscription.

What is the difference between viewer and editor?

Editors (the default) can add, edit and delete any note on the account. Viewers can read notes and export them but not change them. Admins are always editors.

I am a consultant on several NetSuite accounts. Do I pay for each?

You do not pay at all; the account does. Each client's NetSuite account is on its own plan, Free or Unlimited. Turn on consultant mode in Settings to see notes from every account in the toolbar popup, grouped by account.

Your data

What is local-only mode?

A switch in Settings. With it on, notes never leave your computer, so nobody else on the account sees them and you do not see theirs. SuiteMemo still checks the account's plan with our server every 6 hours, sending a random install id, the extension version, your NetSuite account number and the user id, name, email and role it read from the page; no note text.

How do I export or import notes?

Export: the toolbar popup or Settings, "Export". You get a JSON file with every note on the account, on any plan. Import: Settings, "Import", with a SuiteMemo export or a CSV with two columns, search_id_or_name and note (download the template there). A search is matched by its script ID, or by name when SuiteMemo has seen that search on the account. Imported notes replace the note for the same search.

How do I get a copy of everything about me on your servers?

Settings, "Download my data" (you need to be signed in). It includes your sign-in, the accounts you are listed on and any subscription you pay for. Notes belong to the account; export them from the popup or Settings.

How do I delete my sign-in?

Settings, Account tab, "Delete my sign-in", then type your email to confirm. Your sign-in, email, sessions and install record are deleted from our servers immediately, and you are unlinked from the account's member list and from any subscription you pay for. The subscription itself keeps running for the account, so cancel it in "Manage billing" first if you want it to stop. Notes belong to the account and stay. Notes in your browser stay until you uninstall SuiteMemo.

What does uninstalling remove?

Everything SuiteMemo kept in that browser profile. Notes that synced are still on the account for everyone else. If you used local-only mode, export first.

Installing for your whole company

IT admins can force-install SuiteMemo from the Chrome Web Store or Microsoft Edge Add-ons with the standard ExtensionInstallForcelist policy. Users cannot remove a force-installed extension. Each user still sees SuiteMemo's first-run screen once and presses Continue before it handles any data.

Placeholder IDs. The extension IDs below are placeholders until both store listings exist. Do not deploy these strings.

Chrome (Google Admin console, Group Policy or MDM)

REPLACE_WITH_CHROME_ID;https://clients2.google.com/service/update2/crx

Google Admin console: Devices, Chrome, Apps & extensions, Users & browsers; pick the organizational unit; add SuiteMemo from the Chrome Web Store; set Installation policy to "Force install"; Save.

Windows Group Policy: Google Chrome, Extensions, "Configure the list of force-installed apps and extensions", add the string above. Registry: HKLM\SOFTWARE\Policies\Google\Chrome\ExtensionInstallForcelist, value 1 (or the next free number).

Microsoft Edge (Intune, Group Policy)

REPLACE_WITH_EDGE_ID;https://edge.microsoft.com/extensionwebstorebase/v1/crx

Group Policy: Administrative Templates, Microsoft Edge, Extensions, "Control which extensions are installed silently", Enabled, Show, add the string above. Registry: HKLM\SOFTWARE\Policies\Microsoft\Edge\ExtensionInstallForcelist. Intune: a Settings catalog profile, Microsoft Edge, Extensions, "Control which extensions are installed silently", with the same string. On Windows machines not joined to a domain, Edge only force-installs extensions from the Edge Add-ons website, which this one is.

Rolling out to many people at once

Each new install contacts our server once after the user presses Continue. Our server accepts up to 1,000 of those per hour from one public IP address. If more than 1,000 people behind one office IP address will get SuiteMemo in the same hour, roll it out in batches or email us first.

Plans are per NetSuite account, so a company-wide rollout needs nothing extra: everyone shares the account's Free 50 notes, or its Unlimited subscription if an admin has bought one.

NetSuite updates

Will a NetSuite release break SuiteMemo?

NetSuite updates its pages about twice a year. SuiteMemo finds its place on the page by what elements mean (links to saved searches, the page title), not by their styling, which survives most changes. If a release does break it, we fix it and ship an update through the Chrome and Edge stores; store review can add a few days. Your notes are stored outside NetSuite, so they are not lost, and export keeps working meanwhile.

Something looks wrong after a NetSuite update. What should I send?

Your SuiteMemo version, browser and version, which page (list, edit or results), and whether you use NetSuite's Redwood or Classic theme. Please do not send screenshots that show search results or record data.
